Setting Up a New Oil Analysis Program: Best Practices Lead to Success

Onsite lubrication training at a large U.S. Wastewater Treatment Facility afforded Eurofins TestOil Lubrication Field Engineer Dwon Ruffin the pleasure of an in-person tour of the facility’s oil analysis program.  The experience led Dwon to the conclusion that the location is a great example of how to correctly implement sample port additions, lubricant storage, and staff training to support a new oil analysis program.  

 Dwon explained, “They purchased items such as sealed and color-coded transfer containers, new storage systems, and some equipment hardware for sampling. Then they required their team to become fully involved and acquire some oil analysis training, which included process development and general lube program basics.”        

The facility’s program champion, put in the work to make sure all the right program initiatives were in place. Then the facility’s maintenance team then followed through with installation of all the right hardware per best practices. Dwon added that some of the sample ports are pieces rarely seen outside of a lubrication textbook. 

 The Eurofins TestOil onsite training consisted of two full days of Lubricant Fundamentals, Oil Sampling Best Practices, and Lubrication Program Management.  There was also a significant amount of time spent going over greasing issues and other equipment-specific problems.

“The training went extremely well, with great participation and good conversation among the team and supervisors, which is the most important part of these visits,” Dwon said.

The Wastewater Treatment Facility now has a model program, including the benefit of a dedicated and well-organized oil champion/program director. The rest of the success formula includes team engagement, good communication (or a plan to institute this), and relevant yet effective process implementation. The facility also incorporated best practice concepts and followed them to the letter to acquire proper hardware, lube storage, product signage, etc. and also to reach out for additional training. 

Dwon concluded, “I would encourage other program personnel to understand this is truly an investment in your overall success as both a team and organization.  The benefits you gain when you put in the necessary work at the beginning, will pay off 10 times in equipment reliability, cost savings, and company culture for decades.  The upfront work can sometimes be overwhelming, but having the right support and proper training ensures success. I like to encourage teams to be open and have fun with it.  This absolutely aids in the overall longevity, and effectiveness of the program. All-in-all this facility is an example for other sites as to what the standard should be.”
